Document Coordinator
Volunteer Position Description

Position Title: Document Coordinator Volunteer
Reports to: Assistant Director

About the Organization: The mission of the North Alabama Coalition for the Homeless (NACH) is to reduce and prevent homelessness in the Greater Huntsville area through education and assistance provided to the at-risk population.

NACH provides three vital services to the homeless population of Madison County:

  1. Walk-in and phone-in services that include conducting interviews to assess the client’s needs, providing clients with essential items such as food, toiletries, bus passes, and seasonal weather gear, and providing referrals to partner agencies for other services such as healthcare, mental health support, addiction recovery, and financial counseling. NACH also supports the City of Huntsville and the Huntsville Housing Authority by assisting clients with emergency rental applications and emergency housing voucher applications.
  2. Integrated case management with a goal of permanently housing clients and ensuring adequate income to maintain housing
  3. Local administrator of the database that connects homeless clients with agencies across Alabama and North Florida

Time Commitment: Approximately 3 hours per week

Purpose: Help NACH meet its paperless documentation goal by digitizing and organizing legacy documents.

Responsibilities:

  • Scan paper documents
  • Verify scanned documents for accuracy
  • Organize scanned documents in a cloud-based file system
  • Shred outdated documents

Qualifications:

  • Friendly, energetic, and flexible with a desire to interact with homeless clients
  • Ability to use a computer including the internet and Microsoft applications (particularly Microsoft Word, Adobe Acrobat, and Google Drive)
  • Abide by all NACH policies and procedures
  • Ability to use a telephone and computer
  • All volunteers must be 21 years or older

Position Title: Donated Items Coordinator Volunteer

  1. Time Commitment: Varies based on need. The bulk of in-kind items are donated between October thru February.

Purpose: The Donation Coordinator will receive, process, document, and distribute tangible goods that are donated by the public and local organizations. These items include hygiene products, snacks, clothing, and inclement weather gear.

Responsibilities:

  • Coordinate with assistant director about incoming items
  • Document receipt of goods upon acceptance
  • Engage with homeless clients and donors in a friendly manner
  • Coordinate with partner agencies to distribute goods

Qualifications:

  • Friendly, energetic, and flexible with a desire to interact with homeless clients and community donors
  • Ability to use a computer including the internet and Microsoft applications
  • Customer service experience preferred
  • Abide by all NACH policies and procedures
  • Ability to stand, walk, bend, and move around
  • All volunteers must be 21 years or older

Purpose: Pick-up and drop off items in and around Huntsville using NACH’s vehicle

Responsibilities:

  • Pick up items and purchases from retail outlets like Sam’s Club and Walmart
  • Pick up from and deliver items to partner agencies around the city

Qualifications:

  • Friendly, energetic, and flexible
  • Valid Alabama driver’s license and insurable driving record
  • Abide by all NACH policies and procedures
  • Ability to use a telephone and computer
  • All volunteers must be 21 years or older

Purpose: Assist with grant research and writing

Responsibilities:

  • Research grant opportunities
  • Help with the grant-writing process including filling out standard agency information, narrative writing, document collection and organization.
  • Proof-reading drafts

Qualifications:

  • Friendly, energetic, and flexible
  • Grant writing experience required
  • Copywriting experience preferred
  • Passion for NACH and the homeless population
  • Advanced user of Microsoft Office Suite and Adobe Acrobat
  • Proficient in internet research

Volunteer Position Description

NACH provides three vital services to the homeless population of Madison County:

  1. Walk-in and phone-in services that include conducting interviews to assess the client’s needs, providing clients with essential items such as food, toiletries, bus passes, and seasonal weather gear, and providing referrals to partner agencies for other services such as healthcare, mental health support, addiction recovery, and financial counseling. NACH also supports the City of Huntsville and the Huntsville Housing Authority by assisting clients with emergency rental applications and emergency housing voucher applications.

Time Commitment: Our goal is to have volunteer assistance during walk-in business hours of 9 am to 5 pm, Monday through Thursday at the Client Service Center. We request that you cover a 3-4 hour shift at least once per week, or more often if you wish.

Purpose: Greeters help provide a welcoming environment for homeless clients. Greeters let clients into the building, help them sign in, and help with the general flow of traffic at the Client Services Center.

Responsibilities:

  • Ensure visitors enter and exit the office efficiently
  • Guide clients through the sign-in process
  • Engage with clients in a friendly manner
  • Make copies of, scan, and shred documents
  • Receive and process donations of tangible goods

Qualifications:

  • Friendly, energetic, and flexible with a desire to interact with homeless clients
  • Capacity to commit to a long-term volunteer shift and one shift per week
  • Ability to use a computer preferred
  • Some experience in customer service preferred
  • Abide by all NACH policies and procedures
  • Ability to stand and walk to the extent of escorting clients in and out of the office space
  • All volunteers must be 21 years or older

Time Commitment: Approximately 10 hours per month

Purpose: The Housing List Manager will review the housing list monthly, sort and parse the list based on client’s vulnerability score and date of placement on the list. The Housing List Manager will call clients to find out if they are still seeking housing and update their records in a shared database. The Housing List Manager will exit clients from the housing list as outlined in NACH’s written procedure.

Responsibilities:

  • Review and update the housing list monthly
  • Call clients to determine if they are still seeking housing
  • Update client records based on their response
  • Exit clients from the housing list as appropriate

Qualifications:

  • Friendly, energetic, and flexible with a desire to interact with homeless clients
  • Ability to use a computer including the internet and Microsoft applications (particularly Excel)

  • Track audience engagement across social media
  • Graphic design
  • Assist with updating website

Qualifications:

  • Friendly, energetic, and flexible
  • Marketing experience required
  • Graphic design experience required
  • Familiarity with Canva preferred
  • Familiarity with WordPress preferred
